Design Your CRM Record Forms With the Form Designer
What this does
The Form Designer lets you decide exactly how a contact, company, deal or ticket looks to your team. You choose which fields appear, group them into sections, set one, two or three columns, and decide who sees which version. Nothing is rebuilt when you change a form: the records and values you already have stay where they are.
Form Designer belongs to the CRM Studio package. If you do not see it, inclusion depends on your plan; see your plan under Billing, Usage Overview. Your existing fields keep working either way.
Open the designer
- Go to CRM, Settings, Form Designer.
- Choose the record type: Contact, Company, Deal or Ticket.
- Choose who the form is for: everyone, one pipeline, one deal stage, or one role.
Build the form
- Drag fields from the left list into the canvas. Every built-in field and every custom field is in the list. Prefer the keyboard? Select a field and use Move up and Move down.
- Choose Add section to group fields. Give the section a title and pick one, two or three columns.
- Select a field to open its settings: how wide it is, whether it is read only, and whether it is required.
- Watch the Preview on the right. It shows the form as your team will see it.
- Choose Save. Choose Set as default to make it the form everyone gets when no more specific form matches.
Show or require a field only when it matters
Select a field or a section, then use Visible when or Required when. Pick another field, a condition (equals, does not equal, contains, starts with, is empty, is not empty) and a value. For example, show Reason for loss only when Stage equals Closed Lost. The same rule is checked again on the server when the record is saved, so it cannot be skipped.
Which form does someone get
Velaro picks the most specific form that matches, in this order:
- Pipeline, stage and role
- Pipeline and role
- The default form for that record type
- A form built from your current field order, so a record is never blank
Go back to an earlier version
Every save keeps a version. Open Versions, choose one, and select Restore. The version you replace is kept too.
Good to know
- If a role is not allowed to read a field, the field is simply absent for that role, in the form, the API and exports.
- Removing a field from a form does not delete its values. Add it back and the data is there.
