Contact Import & Bulk Management

Velaro's contact system stores visitor profiles, conversation history, and CRM data in one place. You can import contacts in bulk from a CSV, sync them from a connected CRM, or create them automatically as visitors interact with your site.

Importing Contacts from a CSV

  1. Go to Contacts → Import.
  2. Download the CSV template to see the required column format.
  3. Prepare your CSV file with the following columns:

  1. Upload the file and select the duplicate handling strategy: Skip, Overwrite, or Merge (combines existing and imported data).
  2. Click Start Import. A progress indicator shows the status. For large files, you receive an email when the import completes.

Syncing Contacts from a CRM

If you have a CRM integration configured (HubSpot, Salesforce, Dynamics 365, Pipedrive, or NetSuite), contacts sync automatically based on the Contact Sync rules in your CRM settings. You can also trigger a manual full sync from Settings → [CRM Name] → Sync Now.

CRM-synced contacts are linked to their CRM record so changes in either system stay in sync. See the CRM Contact Sync Guide for sync rules and field mapping.

Managing Contacts in Bulk

In Contacts, select multiple contacts using the checkbox column, then use the Bulk Actions dropdown:

  • Add Tag — apply one or more tags to all selected contacts.
  • Remove Tag — remove a tag from all selected contacts.
  • Assign to Team — set a preferred handling team.
  • Export — download the selected contacts as CSV.
  • Delete — permanently remove. This also deletes associated conversation history.
  • Merge Duplicates — combine two or more contacts into one canonical record.

Deduplication

Velaro automatically detects duplicate contacts based on email address and phone number. Suspected duplicates are flagged with a warning badge on the contact record. To merge manually:

  1. Open a contact record.
  2. Click Merge Duplicate.
  3. Search for and select the duplicate contact.
  4. Choose which record's fields to keep as the primary values.
  5. Click Merge. All conversations from both records are consolidated into the surviving record.

Contact Enrichment

When a visitor's email is captured during a conversation (from a pre-chat survey, form, or bot collection step), Velaro automatically enriches the contact record with publicly available information. This includes company name, job title, and LinkedIn profile where available. Enrichment runs in the background within a few seconds of the email being collected.
