The Zapier integration connects Velaro to thousands of other apps by letting you build automated workflows (Zaps) that trigger on Velaro events or take actions inside Velaro from other tools.

What the Zapier Integration Does

Velaro's Zapier app lets you use Velaro events as Zap triggers and Velaro actions as Zap steps. When something happens in Velaro — a conversation resolves, a form is submitted, a CSAT response arrives — Zapier can pass that data to any connected app. Zapier can also send data back into Velaro, creating contacts or tagging conversations from external systems.

How to Connect

1. In Zapier, click Create Zap.

2. In the Trigger or Action search box, type Velaro.

3. Select the Velaro app from the results.

4. Click Sign in to Velaro. You will be prompted for your Velaro API key.

5. To get your API key: in Velaro, go to Settings → API Keys → Create Key. Copy the key and paste it into Zapier.

6. Click Continue to test the connection.

Your API key grants Zapier access to your Velaro account. Store it securely. If you need to revoke access, delete the key from Settings → API Keys.

Common Use Cases

Resolved conversation → HubSpot ticket

Trigger: Conversation Resolved → Action: Create HubSpot Ticket. Every resolved Velaro conversation becomes a HubSpot ticket with the transcript summary, agent name, and resolution time.

Form submitted → Mailchimp list

Trigger: Form Submitted → Action: Add/Update Mailchimp Subscriber. When a visitor fills out a Velaro chat form, they are added to your Mailchimp audience with the fields collected in the form.

Low CSAT → Slack alert

Trigger: CSAT Response Received (filter: rating ≤ 2) → Action: Send Slack Message. Your team gets an instant Slack notification when a customer leaves a low satisfaction rating.

New lead in CRM → Velaro contact

Trigger: New Contact in your CRM → Action: Create Contact in Velaro CRM. Keeps Velaro and your CRM in sync without manual data entry.

Troubleshooting

Zapier cannot find the Velaro app

Search for "Velaro" in the Zapier app directory. If it does not appear, the app may be in private beta for your account tier. Check your Zapier plan — some integrations require a paid Zapier subscription.

Trigger is not firing

Zapier polls for new trigger data on a schedule (every 1–15 minutes depending on your Zapier plan). If you need instant triggers, use Zapier's Instant Trigger option when available. Confirm your API key is active in Velaro Settings → API Keys.

Action fails with "unauthorized"

Your Velaro API key may have been deleted or expired. Go to Settings → API Keys, create a new key, and update the connection in your Zapier account under My Apps → Velaro → Reconnect.

Send Message to Conversation fails

The conversation must be open (not resolved) to receive messages via Zapier. If the conversation was resolved before the Zap ran, the action will fail. Add a filter step in your Zap to check conversation status before sending.
