What is Velaro Voice?

Velaro Voice gives your business a dedicated phone number and account, fully hosted and managed by Velaro — no separate phone carrier, hardware, or contract to set up yourself. It's built entirely into your Velaro account: connect it in a few minutes from Settings, and calls to your new number start surfacing customer context in your agent console right away.

Velaro Voice is fully white-labeled. There's no third-party carrier branding anywhere in the setup flow, your account, or your calling experience — it's just Velaro.

Connecting Velaro Voice

Go to Integrations → Velaro Voice and click Connect to start the setup wizard. The wizard walks through four steps:

1. Connect — Enter your business or site name and a contact email (used for setup and billing notices about this line). Optionally enter a preferred area code; if you leave it blank, Velaro assigns the closest available number.

2. Verify — Review the details you entered before your account is created. Go back to any previous step to make changes.

3. Configure — Optionally set a starting extension number for your account. You can leave this blank and add extensions later.

4. Finish — Velaro creates your account and phone number. This usually completes within a few minutes. If setup fails for any reason, you can retry from the same screen without losing your entered details.

Once connected, your Settings page shows your assigned phone number, connection date, and status at a glance.

Managing Your Connection

Re-opening Velaro Voice after it's connected shows a management screen instead of the setup wizard, with your current phone number and status. From here you can:

  • Refresh status — pull the latest state of your account (useful while a number is still being assigned).
  • Start over — disconnect your current number and account, then run the setup wizard again. This is a destructive action: any active extensions stop working until you complete setup again, and it cannot be undone. Velaro asks you to confirm before disconnecting.

Extensions

Velaro Voice supports one starting extension configured during setup. Additional extension management is coming in a future update — contact support@velaro.com if you need multiple extensions configured today.

CRM Screen Pop on Inbound Calls

When a call arrives on your Velaro Voice number, Velaro looks up the caller and surfaces their information in your agent console automatically:

  • If you have a CRM integration connected (Salesforce, HubSpot, and others), Velaro checks that system first.
  • If no CRM is connected, or the caller isn't found there, Velaro checks your own Velaro contacts for a match on the caller's phone number.

If multiple contacts share the same number, Velaro shows the most recently active one and flags that other matches exist, rather than guessing silently. If no match is found anywhere, the raw caller ID is shown so your agent can still take the call with context.

Activity Log

Every provisioning action — connecting, retrying after a failure, and starting over — is recorded to the Velaro Voice Activity tab on the integration's settings page, along with the outcome and any error details. Use this as your first stop if setup isn't behaving as expected.

Troubleshooting

No phone number assigned yetNumber assignment can briefly lag account creation. Refresh status; if it's still missing after a few minutes, check the Activity tab.
Screen pop shows the wrong or no recordConfirm the caller's number matches what's stored in your CRM or Velaro contacts (including country code formatting).
Need to disconnect and reconnectUse "Start over" on the management screen. This is destructive — confirm before proceeding, since active extensions stop working immediately.
