Apollo Prospecting Integration Guide

Status as of this writing: backend built and tested, not yet live. The connect

flow described below is API-only today — there is no Integrations UI screen for it

yet, and no site has this enabled. Update this section once the admin UI ships and

the first real account (Velaro's own) is configured.

What does the Apollo integration do?

Velaro can automatically build prospect lists for you using Apollo.io's contact

database — connect your own Apollo API key, tell Velaro which kinds of people you

want to reach (job title, seniority, company size, location, industry keywords), and

Velaro periodically searches Apollo, finds matching people, and adds them (with a

real email address) straight into one of your own Contact Lists. From there they flow

into your existing campaigns and segments like any other contact.

This closes a real gap versus competitors — HubSpot, Klaviyo, and Mailchimp all

already offer a native Apollo integration; this is Velaro's version.

Connecting Apollo

1. In your Apollo account, go to Settings → API and copy your API key

2. In Velaro (once the UI ships): go to Integrations → Apollo

3. Paste your API key and accept the one-time prospecting-responsibility attestation

(you're confirming you have the right to contact anyone found this way — Velaro

doesn't and can't verify that on your behalf)

4. Click Save & Test Connection — Velaro checks the key against Apollo directly

before saving it

Search presets — what Velaro searches for

Each preset is a named search: job titles, seniority level (director, VP, C-suite,

etc.), company size range, company location, and free-text industry/keyword terms.

Only active presets run. A preset with no filters at all is refused — Velaro will

never pull an unbounded, untargeted slice of Apollo's database on your behalf.

Velaro ships a few starter presets based on common buyer profiles (manufacturing/

operations, ecommerce, insurance, regulated enterprise) — edit or replace them with

your own.

How often it runs, and your monthly limit

Velaro pulls new matches twice a month (the 1st and the 15th). You set your own

monthly cap on how many people get enriched (found with a real email) — Velaro will

never exceed it, and stops for the month once it's reached rather than guessing at

what your Apollo plan allows.

What data Velaro sends to Apollo, and what comes back

Velaro sends your search criteria (titles, seniority, company filters) — never any

of your existing contacts or conversation data. For each match, Apollo returns a name,

company, title, and (for the ones you choose to enrich) an email address — Velaro

never requests personal (non-work) email addresses or phone numbers from Apollo. If

Apollo can't unlock a match's email, that person is skipped, not added with a

placeholder.

Your responsibility

Apollo's data is public/professional contact information, not an opt-in list.

Reaching out to anyone found this way is your call and your responsibility under

CAN-SPAM, GDPR, or whatever rules apply to you and them — same as it would be if you'd

found the same person any other way. Velaro's attestation step exists to make that

plain up front, not to create a loophole.
